Getting started with AI

Plan the order to roll out AI

What to do first, second and third, with a check at each step.

Best for
Owners
Works with
ChatGPT, Claude and Gemini

When to use it

  • You've picked a few AI ideas and checked what's needed.
  • You want a sensible order, with a pause to check before each next step.

When not to

  • As permission to buy or switch things on. Each step still needs your yes.

What to have ready

  • Your shortlist of ideas
  • The gaps you found for each
  • Who's in charge of each
  • How you'll know each one is working

The prompt

Fill in the [BRACKETS], then paste it into ChatGPT, Claude or Gemini.

› the prompt
You're helping me plan the order to bring AI into my business, with a check before each step. This is a plan for me to check. It doesn't approve anything.

My shortlist (one per line, with who's in charge, what needs fixing first, and how we'd know it's working):
[PASTE YOUR SHORTLIST]

Anything that limits us: [E.G. BUDGET, TIME, BUSY SEASON IN DECEMBER]

Please:
1. Put the ideas in a sensible order, starting with whatever needs least fixing and carries least risk.
2. For each, set out the stages: fix the gaps, try it on a small scale with a person checking, review, then decide whether to keep it.
3. For each stage, say what needs to be true before starting, how we'll know it's done, and when to stop.
4. Put anything about privacy or access first, before any stage that uses our information.
5. Mark the decisions only I can make.

Rules:
- Use only what I've told you. Don't invent dates, costs, savings or owners.
- If you estimate how long something takes, give a range and label it a guess.
- Passing one stage doesn't approve the next. Each needs my yes.

Example input

A made-up example of what the brackets might say.

AI drafts inquiry replies: owner me; fix: update the FAQ; working if: replies go out the same day. Call summaries: owner Sam; fix: nothing; working if: notes are in the CRM within an hour. Website chatbot: owner unknown; fix: service area and prices written down; working if: unknown. Limits: busy in December, $100 a month for tools.
