ChatGPT, Claude and Gemini

When to use it

  • You spend time on inquiries that were never going to suit you.
  • You want your team to judge inquiries the way you would.

When not to

  • To turn someone away automatically. A person should make that call.

What to have ready

  • Who your best customers are
  • Who you don't work with, and why
  • What an inquiry usually tells you

The prompt

Fill in the [BRACKETS], then paste it into ChatGPT, Claude or Gemini.

› the prompt
You're helping me write down how to tell whether an inquiry is a good fit for my business. This is a guide for my team, not a decision about any one customer.

Our best customers: [E.G. OFFICES WITH 10 TO 50 STAFF WITHIN 20 MILES]
Who we don't work with, and why: [E.G. HOMES, BECAUSE WE'RE NOT INSURED FOR THEM]
What an inquiry usually tells us: [E.G. NAME, COMPANY, ZIP CODE, WHAT THEY NEED]

Please:
1. Turn each point into a simple check: what makes it a good fit, what rules it out, and what to do if we don't know yet.
2. Make "not sure yet" its own outcome. Missing information is not a reason to say no.
3. Explain in one line why each check matters to the business.
4. Flag any check that could unfairly judge someone on personal things like age, gender, religion, ethnicity, nationality or disability, and suggest removing it.
5. End with a short checklist my team can use on each inquiry.

Rules:
- Use only what I've told you. Don't add rules I haven't given you.
- This is a draft. I'll check it before my team uses it.

Example input

A made-up example of what the brackets might say.

Best customers: businesses with one or more sites within 40 miles of Denver, wanting regular heating maintenance. Don't work with: homes, because we're set up for commercial work; anywhere outside our area. What an inquiry tells us: company name, what they need, and sometimes the address.

Tips

  • Keep it to a handful of checks. Five clear ones beat fifteen vague ones.
  • Look at it again every few months, as your business changes.
