Works with
ChatGPT, Claude and Gemini

When to use it

  • You've had a call or sent a quote and heard nothing back.
  • You want to follow up without forgetting or nagging.

When not to

  • To pressure someone, or to promise anything you haven't agreed.

What to have ready

  • Where things stand
  • What's been said so far, with dates
  • Any concerns they raised
  • Anything either side promised
  • How they're happy to be contacted

The prompt

Fill in the [BRACKETS], then paste it into ChatGPT, Claude or Gemini.

› the prompt
You're helping me follow up with a potential customer. Write drafts for me to check. Don't send anything.

Where things stand: [E.G. QUOTE SENT ON 3 JUNE]
What's been said so far: [SHORT NOTES ON CALLS AND EMAILS, WITH DATES]
Concerns they raised: [E.G. WORRIED ABOUT DISRUPTION, OR "NONE"]
What we promised to do: [E.G. SEND A START DATE, OR "NOTHING"]
What they promised to do: [E.G. CHECK WITH THEIR BUSINESS PARTNER, OR "NOTHING"]
Who decides on their side: [IF YOU KNOW]
How they're happy to be contacted: [E.G. EMAIL]
What we offer: [WHAT YOU OFFER]
How we sound: [E.G. FRIENDLY AND PLAIN]

Please:
1. Check whether we still owe them anything. If we do, the first follow-up should deliver it.
2. Write 3 to 5 short follow-ups. For each one, say when to send it, what it's for, and the message.
3. Answer only the concerns they actually raised. Don't treat silence as a no.
4. Say when to stop: if they reply, book, say no thanks, or the follow-ups run out.
5. List anything that doesn't add up in my notes.

Rules:
- Use only the facts I've given you. Don't invent dates, discounts, deadlines, promises or things they said.
- No pushy lines or false urgency.
- Mark every message DRAFT. I'll read each one and send it myself.

Example input

A made-up example of what the brackets might say.

Where things stand: quote sent on 28 July. What's been said: call on 24 July, quote emailed on 28 July, no reply since. Concerns: how long staff training will take. We promised: a one-page plan for the first month. They promised: nothing. Who decides: Hannah recommends, and the operations director approves. Contact: email. What we offer: office cleaning contracts. How we sound: warm and professional.

Tips

  • Paste your notes in date order. It helps the AI see what's still outstanding.
  • Put each follow-up date in your calendar or CRM as soon as you've approved the messages.
